How I look after your information.

What Directors Vault collects, why, who it goes to, and how long it's kept.

Directors Vault is a business of Director's Vault Pty Ltd, ABN 34 665 633 214. We provide Australian resident director and public officer services. We handle personal information under the Privacy Act 1988 and the Australian Privacy Principles.

What we collect

  • Enquiries and bookings: your name, email, phone, company and what you tell us about the appointment.
  • Before we accept an appointment: identity documents and verification details for you and the people who own or control the company, the company's details and ownership structure, and the source of funds where we need it.
  • Once appointed: Director ID details and the records we need to act as a director or public officer and meet our legal duties.

Why we collect it

To answer your enquiry, decide whether we can take on the appointment, carry out the appointment, and meet our obligations under the Corporations Act 2001 and the Anti-Money Laundering and Counter-Terrorism Financing Act 2006.

Who we share it with

We don't sell personal information. We share it only where we need to: with ASIC, the Australian Business Registry Services, the ATO and AUSTRAC when the law requires it; with your lawyer or accountant where you've asked us to work with them; and with the service providers that run our email, calendar, bookings and website (Microsoft and Netlify).

Some of these providers may store information outside Australia, and for overseas-owned companies we deal with the parent company and its advisers overseas.

How long we keep it

We keep identity and appointment records for 7 years after the appointment ends, as the AML/CTF rules require, then securely destroy them.

Seeing or correcting your information

You can ask to see or correct the personal information we hold about you by emailing renee@directorsvault.com.

Complaints

If you're unhappy with how we've handled your information, email us first and we'll respond within 30 days. If you're still not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
